Help needed!

The Project has had Kevin Jones as the Secretary and the Maintenance officer since inception in 2009. He now wishes to handover to some new people to carry the project into the future. Here is a rough description of the sort of things that someone has to do to keep the Project going forward, and anyone able to help our Project is asked to contact us – look on the “Contact us!” page. We are very flexible in how we operate so things can be arranged to suit those able to assist.

SECRETARY

The Secretary is appointed by the Board (not elected by the members), and need not be a director, or even a member, and can be a paid employee.

The Secretary is identified in the Rules as having certain roles:

  • Maintaining the membership lists; receiving resignations etc.; reporting annually to the regulator and at other times as necessary (the FCA); calling certain meetings when required.

These functions could actually be by someone else (e.g. a membership secretary), but the responsibility stays with the Secretary.

OTHER ROLES

Various other support activities could be by the Secretary or someone else, and the Secretary could have a small team of helpers.

For instance:

  • record keeping; correspondence (very little by post, mostly email); arranging, attending and taking minutes at, Board & general meetings; assisting Treasurer with records, banking etc.; maintaining the web site.

It would be convenient but not essential if our registered address were the Secretary’s.

 ACCESS & MAINTENANCE OFFICER

Work on the site is needed to maintain the safe and convenient access for the public and to keep the site attractive, and having a dedicated person to look after it is very useful. Assisting the conservation work would be occasionally necessary. Proposed work would need to be checked against conservation requirements. The officer does not have to carry out work but would need to see that someone did the work. A small group of regular volunteers could be set up to manage the site.

Work would normally be by volunteers, but occasionally contractors would be employed.

Note that there are two public rights of way on the site, and coordination with Powys County RoW department will be required occasionally. They are a source of equipment, tools and volunteers.

There is no formal description of the role, these notes are from experience and a new officer would need to make whatever arrangements seem best.

The officer, with any helpers needed, would:

  • be the Health & Safety Officer for the Project; maintain volunteer work records and safety assessments as necessary; decide work required and make arrangements for it; arrange volunteer days; check that notices etc. are maintained.
